1. What Information Do We Collect?

Personal information you provide

We collect personal information you voluntarily provide when you:

• Register for an account (email address via Supabase magic link)
• Configure your workspace (agency name, service description, subreddit list, Slack webhook URL)
• Contact us for support

Sensitive information. We do not process sensitive personal information.

Payment data. We collect data necessary to process payments through Polar (our Merchant of Record). Polar handles all payment processing and storage. You may review Polar's privacy policy at polar.sh/legal/privacy. We do not store card details on our servers.

No social logins. IntentFox uses email magic links only. We do not offer Facebook, GitHub, Google, or other social account logins.

Information automatically collected

We automatically collect limited technical information when you use the service, such as your IP address, browser type, and operating system. This is used primarily for security and to keep the service running.

2. How Do We Process Your Information?

We process your personal information to:

• Facilitate account creation and authentication
• Deliver the service — poll your configured subreddits, score posts for buying intent, and send qualified leads to your Slack workspace
• Generate AI-written outreach drafts included in lead alerts
• Enforce plan limits, billing status, and daily alert caps
• Send transactional emails (e.g. magic link, billing receipts)
• Operate, secure, and improve the service
• Comply with legal obligations

3. Legal Bases for Processing

If you are located in the EU, UK, or Switzerland, we rely on the following legal bases:

• Performance of a contract — processing your configuration to deliver leads to Slack
• Legitimate interests — operating and improving the service securely
• Legal obligations — complying with applicable law
• Consent — where we rely on consent, you may withdraw it at any time by contacting us

4. When and With Whom Do We Share Your Information?

We share your data only with the following third-party processors, each receiving only what is needed to perform their role:

• Supabase — authentication and database (user accounts, workspace configuration, lead records)
• Cloudflare — API Worker hosting and network security
• OpenAI — intent scoring and outreach draft generation (Reddit post content is sent; no account data is sent)
• Apify — Reddit post ingestion
• Polar — billing, subscription management, and Merchant of Record (handles VAT/GST)
• Slack — lead delivery via Incoming Webhook to your configured workspace
• Vercel — frontend hosting

We may also disclose information if required by law, court order, or to protect our rights or the safety of others.

Business transfers. We may share or transfer information in connection with any merger, sale, or acquisition of all or part of our business.

5. Do We Use Cookies?

We use only essential session cookies required for authentication (managed by Supabase). We do not use advertising cookies, tracking pixels, or third-party analytics cookies.

6. AI-Powered Features

IntentFox uses OpenAI to score Reddit posts for buying intent and generate outreach drafts. Post content (title and body of public Reddit posts) is sent to OpenAI for this purpose. No personal account information is included in these requests.

You must not use IntentFox in any way that violates OpenAI's usage policies.

7. International Data Transfers

Our infrastructure is located primarily in the United States (Supabase, Vercel, Cloudflare, OpenAI). If you are located in the European Economic Area (EEA), United Kingdom, or Switzerland, your data may be transferred to and processed in the United States. We implement appropriate safeguards (including Standard Contractual Clauses where applicable) for such transfers.

8. How Long Do We Keep Your Information?

We keep your personal information for as long as your account is active or as needed to provide the service. If you request account deletion, we will delete or anonymise your personal data within a reasonable period, unless longer retention is required by law (e.g. billing and tax records, which may be retained for up to 7 years).

9. How Do We Keep Your Information Safe?

We implement appropriate technical and organisational security measures including encrypted data transmission (TLS), service-role-only database access, and no logging of secrets or credentials. However, no electronic transmission or storage technology can be guaranteed to be 100% secure. Use the service within a secure environment.

10. Do We Collect Information from Minors?

We do not knowingly collect data from or market to anyone under 18 years of age. If you believe we have collected data from a minor, please contact us at vantageharbour@gmail.com and we will take prompt action to delete it.

11. Your Privacy Rights

Depending on your location, you may have the right to:
